6 Impactful Workday® HCM 2020R2 Features

We are officially in the midst of the Release Preparation Window for Workday 2020R2! In our last blog post week we provided insight into the top Financial features and as you may have guessed, here are the top HCM features we feel will be especially impactful.

1. Retro Differences in On-Demand Replacement Payments

With this release, retro differences will now be visible when creating an on-demand payment for an employee, allowing you to decide if you want to include the retro differences as you process an on-demand payment.

Once retro differences are added to the replacement payment, the status of the off-cycle payment will be changed to “Pending Completion of Retro”.

This feature is automatically available.

2. Employee Flexible Payment and Deduction Options

Similar to the first feature, this release reduces manual upkeep, specifically around payments, repayments, and collections of amounts by configuring a centralized process to manage one-time or recurring payments and deductions for workers. 

This new feature allows employees to request, view, and manage their balances for recurring or one-time payments and/or deductions such as loans. Companies can set up the payment and deduction types and also create limits using the Maintain Flexible Payment and Deduction Options Task.

You will have the option to enable a new worklet called My Flexible Payments and Deductions for your employees. This is also available as a task from the Pay Dashboard.

To use this feature, the Request Flexible Payments and Deductions Options business process must be configured along with the appropriate security domains and policies.

3. Next Period On-Demand Payments

Occasionally, as in the case of a termination, a payroll department needs to process a payment in the next pay period for a single employee while the current pay cycle is still in-progress. This will be possible as of the next release, which will be a big help when processing same day payments if required for terminating workers.

The pay results for the worker must be completed for the current pay period before the next-period payment can be created, but the current cycle can remain open for the rest of the pay group.

This feature is automatically available.

4. Duplicate Management Framework

Most Workday clients will experience the problem of having the same person in their tenant more than once.  Managing duplicate people is a common problem because the system does not know how to tell when there is a duplicate.

Duplicate Management Framework enables you to easily find the duplicates and then either merge them or leave them.

To enable this feature, you configure the Match Rules to tell Workday how to identify matching records. Your options include the following fields: National ID, Name, Date of Birth, Phone, Email and Previous Worker ID.

Things to keep in mind include:

  1. If you select Date of Birth, you must select at least one other field

  2. If you include National ID, Name, or Address in your match criteria, Workday requires any selected fields to match exactly

  3. Once you enable Duplicate Framework Management, you cannot access the Recruiting Match & Merge feature and you cannot opt-out

This is a multi-step process. When you get to the last step of the process, you confirm which duplicates identified are to be considered duplicates and merged versus which ones should be left as separate records.

5. Generate Periods for Period Schedules

You can now extend your period schedules without having to enter each period manually or using an EIB upload. Taking advantage of this feature is a simple process. Select one of your period schedules and enter how many periods you would like to generate. Then enter your payment date offset so Workday can insert the new periods correctly.

6. Simplified Job Requisition Experience

Workday is delivering a simpler way to create job requisitions. With support for manager self-service, managers will be able to create their own job requisitions thereby reducing recruiters’ workload.

Options include replacing an active or terminated worker in the selected supervisory organization or filling an existing open position. While you cannot select a worker who has been moved to another supervisory organization, you can select their now vacant position.
