Ensuring a Successful Hybrid Workforce with Workday®
The global pandemic has forced many organizations to quickly transition to a remote/hybrid working model without much notice or preparation, leaving a lot of HR systems in a tangle of short-term fixes. Now that organizations have begun to embrace the benefits of remote work, many companies are seeking to transition to a more stable and long-term remote work model, ensuring satisfaction and productivity for current employees as well as future hires. In this blog post, we’ll take a look at how your organization can begin to successfully transition to a robust work-from-home model in Workday.
Proper Process Ensures Progress
Before any Workday configuration can begin, your organization must take a look at its current configuration and processes to determine how they might differ for remote and hybrid workers. Take stock of where your company is currently registered to do business and what new locations you are ready to expand into (or, NOT expand into) for hiring. Having employees in new locations not only requires additional setup in Workday, but also requires a thorough understanding of any location-specific payroll regulations and employee rights laws.
Additionally, careful consideration must be given to which jobs are suitable for remote work. Are there jobs that will never be remote? Perhaps there are some jobs that could successfully be done remotely in some circumstances, but not others. Should business process flows differ for these different circumstances.
Finally, it’s important to consider downstream use of your HCM data. Can your organization’s downstream systems handle the new nuances for remote employees, such as localization taxes? If you are using Workday as your HCM system of truth, it’s critical to ensure that any changes made in Workday are compatible with your downstream systems, or that those systems are updated to accommodate the new scenarios.
Other Things to Consider
After you’ve addressed these questions and confirmed that your organization’s infrastructure can be updated to support remote employees, it’s time to think about your recruiting and hiring strategies to ensure success in attracting new talent. Every organization has its unique needs, but here are a few common questions to consider in this regard:
Should your organization have different recruiting procedures for remote employees or for remote locations?
Would remote employees be hired by managers who work in-person? Are your managers trained on best practices to support remote employees?
Are your onboarding processes set up to comply with training and certification requirements for remote locations? Are they configured to accommodate employment verification (I9) or workplace posters (both federal and state) in those locations?
Are your remote personnel management systems set up to handle benefits and compensation for remote employees?
Should your organization have differing timekeeping requirements across locations?
Once decisions have been made around these procedures, the next step would be updating Workday so that it is equipped and ready to handle these new scenarios. It’s important to use best practices when making updates to the related Workday configuration and thoroughly test before deploying any of these changes to your production environment. Automation via integrations or other solutions may be possible to further streamline processing to accommodate the updated design. Many companies are overhauling the underlying architecture of their HR systems, and this is a great time to rethink how you hire.
