Zoho Automation with Zoho Flow®

Zoho Flow is a separate application within Zoho that connects other applications together to automate data transfer between them. Zoho offers a powerful suite of 45+ applications that streamline complex business processes and increase organizational efficiency. Zoho Flow is an integration platform that lets you create customized workflows across the Zoho suite as well as third-party cloud applications. In this blog post, we take a closer look at what Zoho Flow is, what it does, and how to use it.

What is Zoho Flow?

Almost every application in the Zoho suite has automation capability through workflows. However, workflows transfer data in only one application. Zoho CRM, for example, allows you to easily convert records using workflow rules to automatically create a new account from a converted lead by transferring all of the data from that lead to a new account. However, Zoho CRM workflows cannot transfer data to Zoho Books or Zoho Projects. So if you wanted to create a new line item in Zoho Books and a new project in Zoho Projects upon lead conversion in Zoho CRM, you would have to do so manually. All this manual entry takes up valuable time, effort, and increases risk of human error. This is where Zoho Flow comes in.

What Does Zoho Flow Do?

Zoho Flow moves data from one application to another. It is simple but powerful. For example, you can use Zoho Flow to easily create a new line item in Zoho Books and a new project in Zoho Projects upon lead conversion in Zoho CRM, saving valuable time and effort, as well as reducing risk of human error. Zoho Flow is great for building automations to cut down on duplicated effort, repetitive tasks, and overcomplicated business processes with people involved at multiple stages. Zoho Flow connects with over 700 applications, even allowing you to automate business processes that involve third-party applications like Outlook and Google Calendar.

How to Use Zoho Flow

Zoho Flow is a drag and drop no-code solution that actually works. If you can read a flow chart you can use Zoho Flow. However, the difficulty of using Zoho Flow increases with the complexity of the project. Sending an email to a client once they submit an invoice is easy and intuitive, but as the process gets more complex, Zoho Flow gets more complicated. For example, a process that involves retainer invoicing at multiple stages of a project as well as automation of retail accounting would need to use custom functions in Deluge. Deluge is Zoho’s native scripting language for automations and requires quite a bit of background knowledge. This is where Makse Group comes in.
